AI-Assisted Workforce Planning · Kuala Lumpur
A Careful First Pass
for Every Roster
We help Malaysian HR teams bring AI into shift planning and workforce scheduling — thoughtfully, with planner review at every step, and full alignment with EA 1955 and PDPA.
Our Services
Three Engagements, One Direction
Each service is sized to where your team is today. We move at the pace your organisation is comfortable with.
Planning Workflow Review
A short, structured engagement with your workforce planner, operations head, and HR business partner. We read three months of rosters and shift memos, then write a brief on where AI drafting could carefully ease the workload — all consent-aware and PDPA-compliant throughout.
- Covers three months of roster and shift-coverage history
- Involves planner, ops head, and HR business partner
- Written brief on AI-assist opportunities
- EA 1955 and PDPA considerations documented
Roster Drafting Pilot
A measured deployment of an AI assist that drafts first-pass rosters and shift-coverage memos for your planner to review and confirm. Read-only HRIS integration, a four-week supervised period, bilingual training, and a usage policy aligned with EA 1955 and union expectations where relevant.
- AI drafts; planner confirms every decision
- Read-only HRIS integration
- Four-week supervised period included
- Bilingual training and usage policy
Quarterly Stewardship
A monthly advisory engagement for HR leaders whose teams already use AI workforce assists. Each month we sample outputs, audit fairness signals with consent, and write a brief for your head of HR. Includes alignment with EA 1955, PDPA, and HRDF circulars, plus a yearly written summary for your remuneration committee.
- Monthly fairness and output audit
- Written brief for head of HR each cycle
- EA 1955, PDPA, and HRDF alignment
- Annual remuneration committee summary
Why coeurvintage
What Sets Our Approach Apart
AI in HR is only useful when it earns the trust of the people using it. Our work keeps the planner at the centre.
Planner Always in Control
AI drafts the first pass. Your workforce planner reviews, edits, and confirms. No decision is handed over to an algorithm.
EA 1955 and PDPA Aligned
Every engagement is designed with Malaysia's Employment Act 1955 and the Personal Data Protection Act as working constraints, not afterthoughts.
Bilingual Delivery
Training materials and guidance documents are prepared in both English and Bahasa Malaysia to serve your full HR and operations team.
Read-Only Data Access
Our integration with your HRIS is strictly read-only. We help draft; we never write directly to your workforce records.
Union and Regulatory Sensitivity
Where union agreements apply, we account for them. Usage policies are aligned before any AI assist goes near a shift schedule.
Written Outputs at Every Stage
Every engagement produces written briefs — not slide decks. Your HR leadership has a clear paper trail to share with management and auditors.

Is Your Team Spending Too Much Time on Shift Drafts?
A planning workflow review takes less than a week and gives your team a clear view of where AI assistance fits — and where it does not. We begin with a conversation, not a contract.
Common Questions
Frequently Asked
What exactly does the AI draft in the Roster Drafting Pilot?
The AI produces a first-pass weekly roster and shift-coverage memo based on your team's existing patterns — hours, headcount, and skill requirements. It does not make final decisions. The planner receives the draft, checks it against operational needs and EA 1955 obligations, and then approves or edits before publication.
How does the HRIS integration work, and is our data safe?
The integration is read-only — we pull shift patterns and headcount data to generate drafts, but we never write to your HRIS. All data handling is documented in a usage policy aligned with Malaysia's PDPA, and employees whose data is processed are covered by appropriate consent notices prepared as part of the engagement.
We have a union agreement. Can you still help?
Yes. We review collective agreements before any deployment and ensure the AI assist operates within those boundaries. In some cases, the usage policy we prepare also serves as a reference document if the matter is raised in union consultation meetings.
How long does the Planning Workflow Review take?
Typically five to eight working days from our initial session with the workforce planner and operations head. We read three months of rosters, ask a few targeted questions, and produce a written brief. There is no lengthy discovery phase or project management overhead.
What happens after the Roster Drafting Pilot ends?
You receive a closing report covering what worked, what your planners changed most often, and recommendations for continued use. From there, you can move to the Quarterly Stewardship engagement if you want ongoing fairness audits and regulatory alignment, or you can run independently with the usage policy and training materials we have provided.
Are prices quoted in Malaysian Ringgit, and what is included?

The Roster Drafting Pilot is RM 1,170 and includes four weeks of supervised deployment, bilingual training, and usage policy preparation.
