Case Study 01 · Manufacturing · Selangor

Reducing Weekly Roster Preparation Time in a 200-Headcount Facility

Challenge

The workforce planner was spending approximately 14 hours per week building and revising shift rosters for 200 production employees across three shift patterns. EA 1955 compliance checks were being done manually in a spreadsheet that had not been audited for accuracy in over a year.

Solution

A Workflow Review confirmed the opportunity and identified a PDPA gap in how employee headcount data was being passed between the HRIS and the planner's spreadsheet. After that gap was addressed, a Roster Drafting Pilot was deployed over five weeks with bilingual training and a usage policy aligned with the facility's CBA.

Result

Weekly roster preparation time dropped to approximately 5 hours. EA 1955 compliance checks are now embedded in the AI draft output. The planner noted that she was reviewing rather than constructing rosters, which gave her time to address shift-swap requests and leave queries that had been accumulating.

Building an Auditable AI Governance Record for a Growing Retail HR Function

Challenge

A retail HR director had already deployed an AI scheduling tool independently but had no documentation to show the board how it was being overseen. Questions about fairness in shift allocation across different employee groups were being raised and there was no audit trail to respond with.

Solution

Jelita Plan began with a retrospective Workflow Review to document the existing deployment's compliance posture, then moved directly into a Quarterly Stewardship engagement. Monthly briefs began in February 2025 and the first fairness signal audit was completed in March.

Result

The HR director now has three months of written monthly briefs and a documented fairness audit on file. The April 2025 board update included a section on AI governance in HR operations — the first time the company had been able to present this. The annual summary is scheduled for Q4 2025 ahead of the remuneration committee cycle.
